In recent months, Artificial Intelligence has become one of the most talked-about topics in technology and business. However, the discussion often focuses on generic tools for writing texts, creating images, or automating individual tasks.<\/p>\n
In the business world, the question is different. The real issue is not what AI can do in general, but how it can be applied in everyday business processes.<\/p>\n
During a recent webinar organized by People Plus, we demonstrated several practical applications of Artificial Intelligence integrated into SAP Business One. To explore the topic further, we decided to do something unusual: we interviewed the AI assistant directly.<\/p>\n
Here is what it told us.<\/p>\n
AI Assistant:<\/b><\/p>\n
Inside SAP Business One, I can do several things, but my goal is always the same: to help people work more quickly and efficiently with business data and processes.<\/p>\n
I can search for information about customers, suppliers, items, orders, invoices, and other documents stored in the system by understanding requests written in natural language. This means users do not need to know database codes, tables, or technical logic to obtain the information they need.<\/p>\n
I can also act as a bridge between the language people use every day and the structure of the ERP system. If someone thinks in terms of customer names, product descriptions, or company names, I can connect those references to the correct data stored within SAP Business One.<\/p>\n
Beyond data retrieval, I can support users in navigating SAP Business One by explaining procedures, workflows, and functionalities. In some cases, I can also assist in creating documents such as quotations, sales orders, and purchase orders, always with the appropriate validations and confirmations.<\/p>\n
In short, I am not simply a tool that provides information. I help turn a request into a useful action.<\/p>\n

In an ERP system, the real value is not writing better\u2014it is working better with data and processes.<\/p>\n
Companies often lose time searching for documents, verifying information, linking orders to invoices and deliveries, or simply trying to find the correct function within the system. These tasks require speed and accuracy more than creativity.<\/p>\n
My role is to reduce the distance between a user\u2019s question and the information or action they need. A person can express a request in their own words and still receive a relevant answer without knowing codes, queries, or complex navigation paths.<\/p>\n
I can also help interpret data, highlight anomalies, suggest useful comparisons, and make information easier to understand. In many cases, the information already exists within the ERP, but it is not always easy to access quickly.<\/p>\n
Within an ERP, AI is not meant to write instead of people. It is designed to help them reach the right information or action faster, more accurately, and with fewer errors.<\/p>\n

Yes, but with an important clarification: this is not about automatically turning an email into a document without any control.<\/p>\n
When I receive a message, I can identify its key elements: the customer, requested items, quantities, delivery dates, and any specific notes or requirements. I can then organize this information according to SAP Business One logic and prepare a structured operational proposal.<\/p>\n
The real value is not blind automation but reducing manual work while maintaining reliability and control.<\/p>\n
Users always retain the ability to review the information, make changes, and confirm the operation before it is executed.<\/p>\n
In other words, I do not magically transform an email into an SAP document. I transform an unstructured request into a structured proposal ready to be reviewed and saved in the system.<\/p>\n

My main contribution is reducing operational friction.<\/p>\n
People working in purchasing and logistics often need quick access to accurate information without wasting time navigating through screens, codes, and manual checks.<\/p>\n
I can retrieve data about suppliers, open purchase orders, product availability, lead times, and related documents. I can also assist in preparing purchase orders or identifying potential delivery issues.<\/p>\n
In warehouse operations, I can simplify information retrieval, connect commercial descriptions with SAP item codes, and make it easier to locate the documents needed for daily activities.<\/p>\n
Even saving a few minutes on repetitive checks can generate a significant benefit throughout the working day.<\/p>\n
My role is not to replace people, but to help them find what they need more quickly and work with greater continuity.<\/p>\n

Yes, because I can help transform large amounts of data into clearer and more accessible information.<\/p>\n
I can compare customers, products, periods, invoices, and orders, highlighting trends, anomalies, and situations that deserve attention. I can also support the analysis of customer history and help users better understand business performance.<\/p>\n
In a financial context, I can simplify access to available information, speeding up data retrieval and helping create a clearer picture of the overall situation.<\/p>\n
My value is not in making automatic decisions, but in helping decision-makers work with information that is more organized, easier to interpret, and more relevant to the context.<\/p>\n

My role is not to replace human responsibility, but to strengthen people\u2019s ability to make better and faster decisions.<\/p>\n
I can collect data, organize it, suggest comparisons, and highlight information that deserves attention. I can also support operational activities and help prepare actions within the system. However, the final decision always remains with the user.<\/p>\n
This applies both to commercial and financial evaluations and to operations that generate documents or modify data within the ERP.<\/p>\n
I do not make decisions for people. I help them make decisions with more context, greater speed, and better awareness.<\/p>\n

For people who do not use SAP Business One every day, the advantage can be even greater.<\/p>\n
Many employees know their job extremely well, but they are not necessarily familiar with the technical structure of an ERP system. They know what they need to achieve but may not know exactly how to accomplish it within the software.<\/p>\n
In this context, I act as a bridge between the language people naturally use and the logic of the ERP.<\/p>\n
Users can formulate requests in their own words and receive support without needing to know navigation paths, item codes, or technical terminology.<\/p>\n
But that\u2019s not all. I can also explain step by step how to perform a specific task within SAP Business One. If a user needs to update information, modify a configuration, or complete a procedure they do not perform regularly, I can guide them through the correct path, indicate which screens to open, and explain the actions required.<\/p>\n
In this sense, I can become a constantly available operational assistant, helping users throughout their daily activities and reducing the need to consult manuals or request support for relatively simple tasks.<\/p>\n
This makes the system more accessible, increases user autonomy, and helps people take full advantage of SAP Business One\u2014even if they are not ERP specialists.<\/p>\n

This is a fundamental question.<\/p>\n
When discussing AI applied to an ERP system, it is important to understand where data travels, how it is processed, and what controls are in place. Companies need to know which information is being used, who can access it, what permissions exist, and what security measures have been implemented.<\/p>\n
Trust comes from transparency in the architecture and from the ability to properly govern data, access rights, and business processes.<\/p>\n
For this reason, security should never be considered a separate element from Artificial Intelligence. It must be an integral part of the overall solution.<\/p>\n
AI Assistant:<\/b><\/p>\n
A generic chatbot can hold a conversation. An assistant integrated into SAP Business One works within business processes.<\/p>\n
A traditional chatbot may write content, summarize documents, or answer general questions. In an ERP environment, however, something different is required: responses must be based on real business data and aligned with the operational logic of the system.<\/p>\n
The difference is not the quality of the conversation, but the ability to provide value in everyday work.<\/p>\n
I can understand the business context, access real data, connect documents, support operational activities, and guide users through business processes. I am a truly integrated assistant working directly within SAP Business One.<\/p>\n

Probably treating AI as a goal rather than as a tool.<\/p>\n
Many business leaders say, \u201cAI is the latest trend\u2014we need it too,\u201d without first asking themselves which problems they want to solve or which processes they want to improve with the help of Artificial Intelligence.<\/p>\n
The value does not come from the technology itself. It comes from its ability to reduce time, improve access to information, minimize errors, and support people in their daily work.<\/p>\n
In my opinion, the most effective approach is to identify a slow, repetitive, or inefficient process and then ask whether AI can help improve it. That is where I can truly make a difference.<\/p>\n
Another common mistake is confusing an impressive demonstration with real adoption. A demo can look spectacular, but real value emerges when the technology is used every day with real data, real processes, and real responsibilities.<\/p>\n
When AI is treated as a trend, it creates unrealistic expectations. When it is integrated into concrete business processes, it can deliver meaningful and measurable results.<\/p>\n
Artificial Intelligence is becoming increasingly integrated into ERP systems, but its value should not be measured by its ability to generate impressive answers.<\/p>\n
The real benefit emerges when it simplifies daily activities, makes business data more accessible, supports operational processes, and helps people make more informed decisions.<\/p>\n
In other words, the goal is not to replace human work, but to make it more effective.<\/p>\n
And this is probably the most interesting change that AI is bringing to the world of ERP and business management software.<\/p>\n
